Note that the English version is a translation of the house rules of E.S.K.V. Odin originally written in Dutch. Hence, no rights may be derived from this publication. Matters regarding the house rules will be referred to the Dutch PDF version of the house rules.

Definitions
- Academic year: the period from September 1st to August 31st in the next year.
Article 1 – General Provisions
- All provisions in the house rules are subordinate to the law and the statutes.
- These regulations are a supplement to the statutes of E.S.K.V. Odin established on 29-12-2016.
- These regulations are applicable on every member and donator of the association, and they are expected to know the house rules, and act accordingly.
Article 2 – Membership and Donatorship
- The association consists of:
- Members
- Donators
Article 2A – Members
- Members are those who have registered in writing at the board and admitted as member.
- Members have to satisfy all of the following requirements:
- Members have to be in possession of a SSCE sports card.
- Members are registered as student or PhD student.
- When a member graduates during the academic year, this member can stay member for the current and the following academic year. After this period, membership is suspended.
- All requirements listed in Article 2A2 are not applicable in case a person is granted the 5-year ruling. Information regarding the requirements can be obtained at the board.
Article 2B – Donators
- The association recognizes both members and donators.
- One can only become a donator, when they have been a member.
- Donators are the persons who are allowed by the board and those who are obliged to donate an amount equal or greater than the yearly contribution to the association.
- Donators have no other rights and obligations other than those applied to them by the statutes and/or regulations.
Article 3 – Membership
- The contribution is 25 euro for an academic year or 12,50 euro after the 28th of February until the end of the college year.
- The membership/donator status is valid and valid only for the academic year in which the contribution was paid.
Article 4 – Rights and obligations of members
- Members have the right to partake in every activity under the condition that the member has met the specified (financial) conditions of the activity.
Article 5 – Supplementary Regulations
- In the case of severe transgressions of the house rules of the SSCE, the board has the power to terminate membership as described in article 5.4 of the statutes.
- The intended use, attempted intended use, possession or (attempt to) dealing of performance-enhancing drugs or other substances prohibited by the World Anti-Doping Agency (WADA) is forbidden. A distinction is made between two situations:
- In case of an all-time banned substance, the board is obligated to terminate the membership following article 5.4 of the statutes. An exemption may be granted for medical reasons.
- In case of an in-competition banned substance and if the member is caught on a competition by the Dopingautoriteit, the WADA or the board (with sufficient proof), the board must analyse the case and has the right to terminate their membership, unless the substance was used for medical reasons.
- The board is obligated to report these transgressions to the SSCE.
Article 6 – Association Colors
- The Odin logo consists of the following colors:
- Dark red: digital RGB (124, 8, 19); print: PMS 1815 C
- Light red: digital RGB (226,39,29); print: PMS 485 C
- Black: digital: RGB (0 ,0 ,0)
- White: digital: RGB (255,255, 255)
- The background color and also the color of the association clothing is Navy Blue or a comparable color to Navy Blue. Other colors can be used for events of other limited editions, in which the logo is allowed to be
monochromatic.
Article 7 – The Board
- Members who perform a function in the board are not exempt to their obligation of paying the fixed contribution, nor will they renounce their right to vote during the general members meeting.
- Tasks of the board, without prejudice the applicable statutes or house rules mentioned elsewhere in this document or other regulatory documents, are as follows:
- The general management.
- Preparation and timely planning of the general members meeting.
- The execution of the decisions taken during the general members meeting.
- The supervision on compliance of the statutes and
regulations. - Taking care of and protecting the financial stability and solvability of the association. f. Managing the member administration and documents and/or
imagery whether in the archive or not. - Maintaining relations with external parties.
- Members of the board preserve the right to make a change to the budget of their board year. This change can happen without explicit permission of the GMM. The size of this change cannot be more than 5% of the expected income of that board year.
Article 8 – Candidate Board
- The board will place an open vacancy for the to be fulfilled board positions before March 31st of the academic year.
Article 9 – Audit Committee
- Conform article 14 of the statutes, by the members of the general members meeting, the members of the audit committee are appointed.
- The audit committee consists of at least 2 members.
- The audit committee supervises the management of the treasurer. The audit committee is expected to check the balances, the books and documents of the treasurer, at least 1 time per year.
- In case the audit committee sees reason to discharge the treasurer, the audit committee will present a proposal concerning this aforementioned reason to the
general members meeting. The audit committee is authorized to give proposals to the board regarding the financial management.
Article 10 – Activity Committee
- The activity committee, from now on referred to as AC, will try to organize at least 1 activity per month.
- At least 1 of the AC members, whether or not in an observing role.
Article 12 – Liability for Members
- Every member or donator is liable to caused damage to property of the association, caused by this member or donator.
Article 13 – Change of the House Rules
- The house rules can only be adjusted by a decision of the general members meeting, of which the proposal to change the house rules was announced in advance. The term of convocation to such a meeting has to be at least 14 days.
- A decision to change the house rules has to have at least 2/3 of the valid cast votes to be valid.
Article 14 – Final Provisions
- Every member and association body has to adhere to the provisions in this regulation.
- In cases where this regulation is not applicable, the board decides barring the board’s obligations towards the general members meeting.
- The association is not liable for illness, accidents or damage of any kind. Members and donators are at all times responsible for their own safety and health.
- After declaration of the regulation, the text will be made available to members as soon as possible. This regulation and all following changes to this regulation enter into force 14 days after the appearance of an information expression in which the text of the regulation is included.

Definities
- Academisch jaar: de periode van 1 september tot 31 augustus in het volgende jaar.
Artikel 1 – Algemene Bepalingen
- Alle bepalingen in de huisregels zijn ondergeschikt aan de wet en de statuten.
- Dit reglement is een aanvulling op de statuten van E.S.K.V. Odin vastgesteld op 29-12-2016.
- Dit reglement is van toepassing op elk lid en donateur van de vereniging, en er wordt van hun verwacht de huisregels te kennen, en ernaar te handelen.
Artikel 2 – Lidmaatschap en Donateurschap
- De vereniging bestaat uit:
- Leden
- Donateurs
Artikel 2A – Leden
- Leden zijn zij die zich schriftelijk bij het bestuur hebben ingeschreven en als lid zijn toegelaten.
- Leden moeten voldoen aan alle onderstaande eisen:
- Leden moeten in het bezit zijn van een SSCE-sportkaart.
- Leden staan ingeschreven als student of PhD’er.
- Wanneer een lid is afgestudeerd gedurende het academisch jaar kan men gedurende het academisch jaar van afstuderen en het academisch jaar dat volgt lid blijven. Hierna wordt het lidmaatschap opgeheven.
- Alle eisen beschreven in Artikel 2A2 zijn niet van toepassing indien een persoon de 5-jaren regeling is toegekend. Informatie over de eisen kan verkregen worden bij het bestuur.
Artikel 2B – Donateurs
- De vereniging kent naast leden ook donateurs.
- Een ieder kan alleen donateur worden wanneer men lid is geweest.
- Donateurs zijn die personen die door het bestuur zijn toegelaten en die zich ten opzichte van de vereniging verplichten om jaarlijks een bedrag gelijk of groter dan de jaarlijks vastgestelde contributie te doneren.
- Donateurs hebben geen andere rechten en verplichtingen dan die welke hen in of krachtens de statuten en/of reglementen zijn toegekend of opgelegd.
Artikel 3 – Het Lidmaatschap
- De contributie bedraagt 25 euro voor een collegejaar of 12,50 euro na 28 februari tot het einde van het collegejaar.
- Het lidmaatschap/donateurschap is geldig en enkel geldig voor het academisch jaar waarin de contributie betaald is.
Artikel 4 – Rechten en plichten van leden
- Leden hebben het recht om deel te nemen aan iedere activiteit mits het lid aan de gespecificeerde (al dan niet financiële) voorwaarden van de activiteit heeft voldaan.
Artikel 5 – Aanvullende Regelementen
- Bij ernstige overtredingen van de huisregels van het SSCE, heeft het bestuur de bevoegdheid om het lidmaatschap te ontzeggen zoals beschreven in artikel 5.4 van de statuten.
- Het opzettelijk gebruik, de poging tot opzettelijk gebruik, het in bezit hebben of de (poging tot) handel van doping of andere stoffen die verboden zijn door de World Anti-Doping Agency (WADA) is niet toegestaan. Hierin wordt onderscheid gemaakt tussen twee situaties:
- Indien het om een stof gaat die verboden is binnen en buiten competitie, zal het bestuur het lidmaatschap ontzeggen conform artikel 5.4 van de statuten. Een uitzondering mag gemaakt worden voor medische redenen.
- Indien het om een stof gaat die enkel verboden is binnen competitie en het lid wordt betrapt door de Dopingautoriteit, de WADA of het bestuur (met
voldoende bewijs), moet het bestuur de zaak onderzoeken en heeft het bestuur het recht het lidmaatschap ontzeggen, behalve als er sprake is van gebruik voor medische doeleinden.
- Het bestuur is verplicht voornoemde zaken door te geven aan het SSCE.
Artikel 6 -Verenigingskleuren
- Het Odin logo bestaat uit de kleuren:
- Donkerrood: digitaal: RGB (124, 8, 19); drukwerk: PMS 1815 C
- Lichtrood: digitaal RGB (226,39,29); drukwerk: PMS 485 C
- Zwart: digitaal: RGB (0, 0, 0)
- Wit: digitaal: RGB (255, 255, 255)
- De achtergrondkleur van de standaard verenigingskleding is Navy Blue of een daarop gelijkende kleur. Andere kleuren kunnen gebruikt worden voor evenementen of andere speciale edities, waarbij het logo monochroom gemaakt mag worden.
Artikel 7 – Bestuur
- Leden die een bestuursfunctie vervullen ontdoen zich niet van hun verplichting de vastgestelde contributie te betalen, noch doen zij afstand van hun stemrecht tijdens
de algemene leden vergadering. - Onder het bestuur valt, onverminderd het bepaalde dienaangaande in de statuten, elders in het huishoudelijk reglement of in andere reglementen:
- De algemene leiding van zaken.
- Voorbereiden en tijdig plannen van de algemene leden vergadering.
- De uitvoering van de door de algemene leden vergadering genomen besluiten.
- Het toezicht op de naleving van de statuten en reglementen.
- Het zorgen voor en beschermen van financiële stabiliteit en solvabiliteit van de vereniging.
- Het beheren van de ledenadministratie en documenten en/of beeldmateriaal al dan niet in het archief.
- Het onderhouden van relaties met externe partijen.
- Leden van het bestuur behouden zich het recht een wijziging aan te brengen aan de begroting van zijn/haar desbetreffende bestuursjaar. Deze wijziging mag gebeuren zonder expliciete toestemming van de Algemene Ledenvergadering.
De grootte van deze wijziging mag niet meer bedragen dan 5% van de verwachte inkomsten van dat desbetreffende bestuursjaar.
Artikel 8 – Kandidaatsbestuur
- Het bestuur zal een open vacature plaatsen voor de te vervullen bestuursfuncties voor 31 maart van het academisch jaar.
Artikel 9 – Kascommissie
- Conform artikel 14 van de statuten worden door de algemene ledenvergadering de leden van de kascommissie benoemd.
- De kascommissie bestaat uit minstens 2 leden.
- De kascommissie houdt toezicht op het beheer van de penningmeester, Zij is gehouden tenminste éénmaal per jaar de kas de saldi, de boeken en bescheiden van
de penningmeester na te zien. Van de uitkomst van dit onderzoek wordt verslag uitgebracht aan het bestuur en dit verslag wordt voorgedragen bij de ALV waar financiële stukken moeten worden goedgekeurd. - Indien de kascommissie termen aanwezig acht om de penningmeester te dechargeren zal zij een betreffend voorstel doen aan de algemene vergadering. De kascommissie is bevoegd aan het bestuur voorstellen betreffende het financiële beheer te doen.
Artikel 10 – Activiteitencommissie
- De activiteitencommissie, vanaf nu AC, poogt minimaal 1 activiteit per maand te organiseren.
- In de AC zit minimaal 1 bestuurslid, al dan niet waarnemend.
Artikel 12 – Aansprakelijkheid voor Leden
- Ieder lid of donateur is aansprakelijk voor de door het lid of donateur aangebrachte schade aan de eigendommen van de vereniging.
Artikel 13 – Wijziging van het Huishoudelijk Regelement
- Het huishoudelijk reglement kan slechts gewijzigd worden door een besluit van de algemene ledenvergadering, waartoe werd opgeroepen met de mededeling dat aldaar wijziging van het huishoudelijk reglement zal worden voorgesteld. De termijn voor oproeping tot een zodanige vergadering moet tenminste 14 dagen bedragen.
- Een besluit tot wijziging van het huishoudelijk reglement behoeft tenminste 2/3 van de uitgebrachte geldige stemmen.
Artikel 14 – Slotbepalingen
- Ieder lid en verenigingsorgaan heeft zich te houden aan de bepalingen van dit reglement.
- In gevallen waarin dit reglement niet voorziet, beslist het bestuur behoudens haar verantwoording aan de algemene ledenvergadering.
- De vereniging is niet aansprakelijk voor ziekte, ongevallen of schade van welke aard dan ook, ongeacht welke oorzaak. Leden en donateurs zijn te allen tijde verantwoordelijk voor hun eigen veiligheid en gezondheid.
- Na vaststelling van het reglement wordt zo spoedig mogelijk de tekst bekend gemaakt aan de leden. Dit huishoudelijk reglement en alle navolgende wijzigingen
van dit reglement treden in werking 14 dagen na het verschijnen van een informatie-uiting waarin de tekst van het reglement is opgenomen.
